Time Management Tuesday: Saving Time with Systems

 

On Saturday, I spoke about systems and their value in helping to build upon what you’ve found that works and scale your efforts so you can get reliably reproduce any success and leverage it to multiply it to reach more people. Today, I’m going to talk about how to use systems to save your time so you can focus on doing more of what is most important to you.

Google Calendar: Helping You to Remember Your Commitments

You can spend a lot of energy trying to remember what you’ve committed to and when, or you can use a tool like Google Calendar, put it on the calendar, and let it remind you when the time arrives.

That way you’re not straining your brain trying to remember it all. It makes it easier to plan your day around special events, too. It ensures that you are setting aside time for your priorities and making an effort to be there for those who matter to you.

The nice thing about Google calendar is that it is a free tool. If you have a Gmail account, all you need to do is open up your Google tools and you’ll find the calendar among your list of tools. Set up your appointment and schedule a reminder. You can have it sent to your phone.

Calendly: Booking Time to Spend with People That Matter

Calendly is a free tool that allows people to book appointments with you. You can tie it into your Google calendar and that way if someone wants time with you, they don’t have to ask. They can just visit the link you give them and schedule the time they would like.

Your Google calendar will tell them if that time is free or not. In this way, people who would like attention are able to make sure that they get it and you don’t have to worry about doing any extra work to set up that meeting or set aside that time.

Use Google Calendar to Block Off Time for Important Activities

One way you can use Google Calendar is to block off time for important activities like going through your social media contacts and reaching out to them. Set aside at least 3 minutes per person that you intend to reach out to.

It will take about that long to look through their feed, find something to comment on, and drop a comment on their post. That comment can be all it takes to spark a conversation and rekindle a relationship.

Google Sheets: Recording Your Contacts & Helping You Avoid Wasting Time

Keeping a record of who you contacted, the date of their last post, and what it was about will help you to remember when you engaged with them and what comment you left. The date of their last post tells you how active they are on social media and whether it’s worth pursuing a relationship with them on that platform. If they haven’t posted anything in the last two or three years, it’s a safe bet that they don’t use that platform enough to make it worth your effort.

It will also help you to learn more about their likes and interests over time. That way, when it’s time to reconnect with them again, you always have something to say. Google sheets is perfect for use in doing this. 

Blogger: Recording Your Progress So You Can Systemize Success

You can also use Google Calendar to block off time to spend on things you’ve always wanted to do. Schedule at least 30 minutes a day on pursuing your dreams.

As an idea for how to leverage that for your greater advantage, set up your blog on Blogger as a way of tracking the progress you’re making toward your dream. This will not only help you keep a record of all the steps you took to get where you wanted to be, and all the mistakes you made that you can avoid moving forward, it makes it easier to identify areas where you can set up systems that help you reach your dream faster than you thought possible.

As an added bonus, it will help you attract an audience of people who share similar dreams with you and begin to build a network of supporters who are willing to help you get wherever you want to be in life. Plus, you’ll always have something meaningful to share on social media.
